This Privacy Policy describes how AZURE FLOWSTATE PRIVATE LIMITED (UEN 202615248W) collects, uses, and shares personal data in connection with its AI-driven recruitment services, accessible through azure.msg.community, hirry.co, and WhatsApp Business messaging.

2. Who this policy concerns

This policy applies to two categories of data subjects:

• Customers and their representatives — the employers using our services to fill open positions.
• Candidates — individuals contacted by our agents, or who interact with our platform, in connection with an open position.

We do not knowingly collect special-category data (health, religion, political opinions, etc.) from Candidates. If you share such data with us, we will only process it where strictly necessary and with your explicit consent.

4. Use of data — AI and automated processing

Our services rely on artificial intelligence. The following processing activities are carried out, in whole or in part, by AI systems:

• Refinement and rewriting of job descriptions;
• Sourcing and ranking of Candidates against Customer criteria;
• Conducting voice and WhatsApp conversations with Customers and Candidates;
• Generating summaries, briefs, and follow-up messages.

AI-driven shortlists and ratings are decision-support; final hiring decisions are made by the Customer, not by Azure Flowstate or its AI. To the extent that any processing constitutes automated decision-making with legal or similarly significant effect under applicable law, you have the right to request human review.

5. Sharing of data

Your data may be shared with:

• The relevant Customer: for Candidates, the resume and contact information are transmitted to the Customer whose open position you have been matched to.
• Meta Platforms, Inc.: as the provider of WhatsApp Business, subject to its business policy.
• Amazon Web Services (AWS): as the host of our technical infrastructure, with data stored in the AWS Asia Pacific (Singapore) region.
• AI providers: large language model and voice providers that process content on a transient basis to deliver the AI features of the platform, under contracts prohibiting reuse of your data to train their own models.
• Telephony and messaging providers: for voice calls and WhatsApp template delivery.
• Payment processors: for billing.
• Our technical service providers: subcontractors involved in analytics, quality reviews, and customer support, under contracts requiring equivalent data protection standards.

We never sell your personal data to third parties.

6. International transfers

Some of our service providers operate outside Singapore (including Meta Platforms in the United States, and certain AI providers in the United States and the European Union). Where personal data is transferred outside Singapore, we ensure that comparable protection is provided through contractual clauses or other mechanisms permitted under the PDPA. For data subjects in the European Economic Area, we rely on Standard Contractual Clauses or equivalent safeguards under the GDPR.

7. Retention

We retain personal data for the periods set out below:

• Customer account data: for the duration of the account and 6 years after termination, for accounting and dispute-management purposes.
• Candidate data: 1 year from the last interaction, unless the Candidate consents to a longer retention to be considered for future positions.
• Message and call recordings: 12 months from the date of the interaction, except where retained longer for an active dispute or legal obligation.
• Billing records: as required by Singapore tax and accounting law.

8. Your rights

Under the Singapore Personal Data Protection Act 2012 (PDPA), and where applicable the EU GDPR, you have the right to:

• Access — request a copy of personal data we hold about you;
• Correction — request correction of inaccurate data;
• Withdraw consent — withdraw consent for any processing based on consent;
• Deletion — request deletion of your data (see our Data Deletion page);
• Object — object to processing based on legitimate interest, including profiling;
• Portability (GDPR only) — receive your data in a structured, machine-readable format;
• Human review — request human review of automated decisions with legal or similarly significant effect.

You may lodge a complaint with the Personal Data Protection Commission (PDPC) of Singapore at www.pdpc.gov.sg, or with your local data protection authority in the EEA.

9. Security

We implement reasonable technical and organisational measures to protect your data:

• End-to-end encryption of WhatsApp messages (provided by Meta);
• TLS encryption for all website and API traffic;
• Hosting on AWS infrastructure in Singapore, with certified physical and logical security;
• Need-to-know access controls for our staff;
• Access logging and audit trails;
• Contractual prohibition for AI providers on reusing your data to train their own models.

10. Changes

We reserve the right to modify this Privacy Policy. In the event of a substantive change, we will inform you via WhatsApp, email, or in-platform notice.
